We Sat Down With an HOA Board to Talk Trash. Here's What They Asked Us.

Recently, the PIN Plus team was invited to meet with the Board of Directors of a 63-home HOA whose current waste contract is coming up for renegotiation.

Their management team had recently attended one of our Lunch & Learns and asked PIN Plus to research the community's options. We went to the board meeting with bids from five different waste haulers, along with the pros, cons, pricing, and service details for each.

The board had questions. Really good questions.

And chances are, if you're a board member or property manager considering PIN Plus, you've wondered some of the same things.

"So, you're basically the middleman between us and the waste hauler?"

Yes - but there's a little more to it. PIN Plus negotiates with waste haulers using the collective buying power of the entire community. Once a program is established, we also handle individual resident billing, customer support, service issues, move-ins and move-outs, and communication with the hauler.

The hauler picks up the trash. PIN Plus manages the program around it.

"Where does PIN Plus make its money?"

We believe in being transparent about this. PIN Plus earns a small amount per participating home, and we showed this board exactly what PIN Plus would earn under the proposed program.

"Is the price you showed us all-inclusive?"

Yes. We want boards to be able to compare the actual cost of each option rather than discover additional fees later.

"How many haulers did you bid this with?"

For this particular community, five. But our job wasn't simply to find the cheapest number. We presented the board with the pros and cons of the different options so they could consider pricing alongside service and program details.

"Couldn't we just call the hauler ourselves and get this bulk price?"

This question gets right to the heart of the PIN Plus model. In this situation, the bulk pricing works because the hauler gets one account and one bill for the community.

PIN Plus takes it from there. We bill the participating homeowners individually, collect the payments, and pay the hauler. That allows the HOA to leverage community-wide buying power without putting the trash expense into HOA dues.

And if a resident doesn't pay? That's PIN Plus's responsibility - not the HOA's.

"What happens when someone moves?"

The program is tied to the community. When one homeowner moves out and another moves in, the new resident can participate in the same community pricing available to their neighbors. PIN Plus helps handle that transition.

"What if I'm gone for the summer?"

Another great question - especially in communities with seasonal residents. Service can generally be paused, subject to the hauler's requirements. For the options discussed with this board, haulers typically required at least a four-week pause.

"What can actually go in the recycling bin?"

It depends on the hauler. Accepted recycling materials can vary, so this was one of the details the board wanted to compare before making its decision. PIN Plus gathers that information and communicates the applicable recycling guidelines to residents once a program is selected.

"What if I need a different cart or have a problem with my service?"

Call us. PIN Plus has a dedicated customer-support team for resident questions and service needs. If there's a missed pickup, cart change, billing question, or another issue, residents don't have to figure out whom to call at the waste company. We work with the hauler and see the issue through.

"What does the contract look like?"

PIN Plus maintains a month-to-month relationship with the hauler, giving us flexibility if service isn't meeting expectations. Of course, the goal isn't to switch haulers. We want to build strong, long-term relationships with our waste partners. But we also believe communities should have accountability when service isn't up to par.

"So what's wrong with our current waste hauler?"

Possibly nothing. And that's important. PIN Plus doesn't walk into a community assuming its current provider needs to be replaced.

This community's contract was simply approaching renegotiation, which created an opportunity to look at the market and determine whether PIN Plus's group pricing model could provide a better option. Sometimes the answer may be a new provider. Sometimes the current provider may still make the most sense.

The point is to know your options.
